Embrava + Accruent EMS

Accruent EMS schedules the rooms, the meetings, and the events. Embrava puts that schedule on the door and captures who shows up. The result is a meeting room that announces itself in the hallway and a check-in that flows straight back into EMS.

Two layers, one space

Who does what.

EMS and Embrava handle different halves of the same room. EMS is the scheduling engine that decides which space holds which meeting or event and when. Embrava is the hardware that carries that decision to the door and reads back what really happened.

Accruent EMS

The scheduling engine

  • Room, meeting, and event scheduling, including campus and academic spaces
  • Complex multi-room and multi-day reservations
  • The workflows and policies your schedulers already use
  • The system of record for who reserved what
Embrava

The hardware at the door

  • Room Sign at the meeting space and Desk Sign at the desk
  • Color status light readable from across the floor
  • Badge, NFC, Wallet, QR, and touch check-in
  • Ground-truth check-in data fed back to EMS
How it fits together

One schedule, on the door.

The integration is bi-directional. A reservation booked in EMS, whether a single meeting, a recurring class, or a multi-room event, shows up on the Embrava Room Sign in real time, with the booking details, the time remaining, and a color state anyone can read from down the hall. When someone checks in at the device, by tapping a badge, an NFC phone, a Wallet credential, a QR code, or the screen, that check-in flows straight back to EMS. The schedule and the physical space never drift apart.

Nothing about your EMS setup has to change. There is no middleware to run, no parallel calendar to keep clean, and no new login to hand out. EMS stays the system of record. Embrava is the layer that lifts the schedule off the screen and onto the meeting-room door and the desk.

What Embrava adds

What an EMS schedule gains at the door.

Events and complex bookings, made visible

EMS is built for events, multi-room reservations, and campus scheduling. Embrava puts that booking on a door-side sign, so a complex schedule reads as one clear state on the space itself.

Availability you can see across the floor

A 256-color status light shows free, reserved, or in use from across an open floor, so people stop trying closed doors and stop squatting on a room that EMS already promised to someone else.

Check-in people already have

RFID badge at 13.56 MHz and 125 kHz, NFC phone, Apple or Google Wallet, HID Mobile credential, QR, or a screen tap. No app to install, no new credential to issue, and on-the-spot booking when a space is open.

Reality, not just the reservation

EMS captures who booked the room. Embrava captures who actually walked in. Every check-in is a ground-truth signal, so utilization data reflects how the building really runs, not just what was scheduled.

Common questions

Embrava and Accruent EMS, answered.

Does Embrava work with Accruent EMS?
Yes. Embrava Room Sign and Desk Sign integrate with Accruent EMS through the Embrava platform. Reservations made in EMS appear on the sign at the door, and check-ins captured at the sign feed back to EMS, so the schedule and the physical space stay aligned. There is no middleware to run and no second calendar to maintain.
Can Embrava handle the events and complex room scheduling that EMS is built for?
Yes. EMS is strong at events, multi-room bookings, and academic and campus scheduling, and Embrava puts that schedule on a door-side sign. The Room Sign shows the booked meeting or event, the time remaining, and a color state anyone can read from down the hall, plus on-the-spot booking and check-in when a space is free.
Do I have to replace Accruent EMS to add Embrava signs?
No. Embrava is the hardware layer that sits behind the scheduling software you already run. EMS stays the system of record for rooms, meetings, and events; Embrava signs surface those bookings at the meeting-room door and the desk and capture check-ins. No rip-and-replace, and no new credentials for the people using the space.
What does Embrava add to an EMS deployment that EMS alone doesn't?
Physical presence at the door. A Room Sign that shows the EMS booking on the space itself, a color status light readable from across the floor, and multi-method check-in at the device: RFID badge at 13.56 MHz and 125 kHz, NFC phone, Apple or Google Wallet, HID Mobile credential, QR code, or a screen tap. Every check-in is a ground-truth signal, so utilization data reflects who actually showed up.
If we move off Accruent EMS later, do we lose the Embrava hardware?
No. Embrava signs are platform-agnostic. The Embrava platform sits between the device and your scheduling and calendar systems, so the same hardware carries over if you switch from EMS to Microsoft Places, Robin, ServiceNow, or another platform. The hardware decision and the software decision stay separate.
