Embrava + Calven

Calven plans the office day and reserves the space. Embrava confirms it the moment the employee arrives. Together they carry a booking from "I'm coming in and I've got a desk" all the way to "I'm here, I've tapped in, and the desk knows it", without changing the app your team already plans in.

Two layers, one floor

Who does what.

Calven and Embrava handle different ends of the same day. Calven is the platform where people decide when to come in, who to come in with, and which space to take. Embrava is the hardware that meets them at that space and proves they actually used it.

Calven

The day planner

  • Office-day planning and team coordination
  • Desk and space booking before anyone arrives
  • The app employees plan and reserve in
  • The system of record for who planned what
Embrava

The hardware on the floor

  • Desk Sign and Room Sign at the point of use
  • Color status light readable from across the floor
  • Badge, NFC, Wallet, QR, and touch check-in
  • Ground-truth check-in data fed back to Calven
How it fits together

From plan to proof.

The integration is bi-directional. A desk or room someone reserves in Calven shows up on the Embrava sign in real time, with the booking details, the time remaining, and a color state anyone can read at a glance. When that employee arrives and checks in at the device, by tapping a badge, an NFC phone, a Wallet credential, a QR code, or the screen, the check-in flows straight back to Calven. The day they planned in the app and the day that actually happened on the floor never drift apart.

Nothing about your Calven setup has to change. There is no middleware to run, no parallel calendar to keep clean, and no new login for employees. Calven stays the system of record for planning and booking. Embrava is the layer that closes the loop, turning a planned office day into a confirmed one at the desk and the meeting-room door.

What Embrava adds

What a Calven office day gains with hardware on it.

Check-in employees already have

RFID badge at 13.56 MHz and 125 kHz, NFC phone, Apple or Google Wallet, HID Mobile credential, QR, or a screen tap. No app to install, no new credential to issue.

The planned day, made visible

A 256-color status light shows free, reserved, or in use from across an open floor, so the desk someone reserved in Calven is obvious when they walk up to it and nobody else drifts onto it.

Showed up, not just signed up

Calven captures who planned to come in. Embrava captures who actually arrived and tapped in. Every check-in is a ground-truth signal, so utilization reporting reflects the building as it really runs.

Desks and rooms, one vendor

Desk Sign for hot-desking and hoteling, Room Sign for meeting spaces, both driven by the same Calven booking, both managed from one place.

Common questions

Embrava and Calven, answered.

Does Embrava work with Calven?
Yes. Embrava Desk Sign and Room Sign integrate with Calven through the Embrava platform. The desk or room someone books in Calven shows up on the sign, and the check-in they make at the device feeds back, so the plan in the app and the reality on the floor stay in sync. There is no middleware and no second calendar to maintain.
How does Embrava close the loop on a Calven office day?
Calven is where employees plan the day, see who else is in, and reserve a desk or room before they arrive. Embrava picks it up at the building. When someone reaches the desk they planned for, they tap in at the sign, the desk lights up as theirs, and that check-in flows back to Calven. The intent in the app becomes a confirmed fact on the floor.
Do I have to replace Calven to add Embrava signs?
No. Embrava is the hardware layer that sits behind the workplace platform you already run. Calven stays your system of record for planning and booking; Embrava signs surface those bookings at the desk and the meeting-room door and capture check-ins. No rip-and-replace, no new credentials for employees.
What does Embrava add to a Calven deployment that Calven alone doesn't?
Physical hardware at the point of use. A Desk Sign or Room Sign that shows the booking on the desk or the door, a color status light readable from across the floor, and multi-method check-in at the device: RFID badge, NFC phone, Apple or Google Wallet, HID Mobile credential, QR code, or a screen tap. Every check-in is a ground-truth signal, so utilization data reflects who actually turned up, not just who planned to.
If we move off Calven later, do we lose the Embrava hardware?
No. Embrava signs are platform-agnostic. The Embrava platform sits between the device and your planning and booking systems, so the same hardware carries over if you switch from Calven to Microsoft Places, Eptura, ServiceNow, or another platform. The hardware decision and the software decision stay separate.
