Embrava + Zoom Rooms

Zoom Rooms runs the meeting inside the room. Embrava owns the door. The availability light, the walk-up booking, and the check-in all live outside the room, so the space anyone can see from the hallway finally matches the call happening behind it.

Inside and outside the room

Who does what.

Zoom Rooms and Embrava sit on opposite sides of the same door. Zoom Rooms is the video system that powers the meeting once people are inside. Embrava is the hardware on the wall and the desk that tells people whether they can go in, lets them claim the space, and records who showed up.

Zoom Rooms

Inside the room

  • The in-room video meeting and content sharing
  • Camera, audio, and display experience at the table
  • Zoom Workspace Reservation for desk and room bookings
  • The meeting platform employees already join calls in
Embrava

Outside the room

  • Room Sign on the door and Desk Sign on the desk
  • Color status light readable from across the floor
  • Walk-up booking and badge, NFC, Wallet, QR, or touch check-in
  • Ground-truth check-in data fed back to Zoom
How it fits together

One booking, two surfaces.

The integration is bi-directional. A room booked in Zoom, or a desk held in Zoom Workspace Reservation, shows up on the Embrava sign in real time, with the details, the time remaining, and a color state anyone can read from the hallway. When someone checks in at the device, by tapping a badge, an NFC phone, a Wallet credential, a QR code, or the screen, that check-in flows straight back to Zoom. The schedule inside the room and the sign outside it never drift apart.

Nothing about your Zoom setup has to change. There is no middleware to run, no parallel calendar to keep clean, and no new login for employees. Zoom Rooms keeps running the call and Zoom holds the bookings. Embrava is the layer that brings the door and the desk to life around it. For Blynclight following Zoom meeting status at the desk, see Embrava + Zoom.

What Embrava adds

What a Zoom Rooms floor gains at the door.

The door, not just the screen

Zoom runs the meeting at the table. Room Sign owns the approach, with the booking on the panel, on-the-spot booking of a free room, and check-in before anyone walks in. The space speaks for itself from the hallway.

Availability you can see across the room

A 256-color status light shows free, reserved, or in use from across an open floor, so people stop opening doors on live calls and stop squatting on rooms they never claimed.

Reality, not just intent

Zoom captures who booked the room or the desk. Embrava captures who actually showed up. Every check-in is a ground-truth signal, so utilization data reflects the building as it really runs.

Rooms and desks, one vendor

Room Sign for meeting spaces and Desk Sign for Zoom Workspace Reservation desk bookings, both driven by the same Zoom schedule, both managed from one place.

Common questions

Embrava and Zoom Rooms, answered.

How does Embrava work with Zoom Rooms?
Zoom Rooms runs the video meeting inside the room. Embrava Room Sign handles everything outside the room: live availability, walk-up booking, and check-in at the door. The integration runs through the Embrava platform, so a Zoom booking appears on the sign and a check-in at the sign feeds back. There is no middleware to install.
What is the difference between Zoom Rooms and an Embrava Room Sign?
They cover opposite sides of the same door. Zoom Rooms is the in-room video system that powers the meeting once people are seated. An Embrava Room Sign mounts outside the room and owns the approach: a color status light readable across the floor, the booking on the panel, on-the-spot booking of a free room, and walk-up check-in. One runs the call, the other runs the door.
Does Embrava support Zoom Workspace Reservation for desks?
Yes. Zoom Workspace Reservation books desks and rooms, and Embrava Desk Sign carries those desk reservations to the desk itself. The booking shows on the sign and an employee claims the desk by tapping a badge, an NFC phone, an Apple or Google Wallet credential, an HID Mobile credential, a QR code, or the screen. The same hardware that fronts your Zoom Rooms also fronts hot-desking and hoteling.
Do we have to replace Zoom Rooms to add Embrava signs?
No. Embrava is the hardware on the floor, not a replacement for Zoom. Zoom Rooms keeps running the meeting and Zoom Workspace Reservation keeps holding the bookings. Embrava signs surface those bookings at the door and the desk and capture check-ins. No rip-and-replace, no middleware, and no new credentials for employees.
If we move off Zoom later, do we lose the Embrava hardware?
No. Embrava signs are platform-agnostic. The Embrava platform sits between the device and your calendar and booking systems, so the same Room Sign and Desk Sign carry over if you switch from Zoom to Microsoft Places, Robin, Eptura, ServiceNow, or another platform. The hardware decision and the software decision stay separate.
