Robin is the system of record.

Employees use Robin to book desks and rooms, see who’s in the office, and find their way around the floor. Robin holds desks, users, and reservations, including check-in and no-show policies, and its analytics show workplace teams how space is used.

How it works

A booking starts in Robin and shows at the desk. Setup is four steps in Embrava DMS.

    Employee books a desk: web, mobile, Outlook, or Teams.

  2. Embrava

    DMS syncs it. The sign shows reserved, with the holder’s name.

  3. Robin

    Employee checks in with Robin’s QR code or mobile app.

  4. Embrava

    The sign shows checked in, then ending, then available.

    Create an API token: Robin admin, Manage, Integrations.

  2. Embrava

    Enter the Robin Account ID and token in DMS.

  3. Embrava

    Create a Desk Sign configuration.

  4. Embrava

    Map each Desk Sign to its Robin desk by serial number.

Data direction
One way: Robin desk status and reservations, through Embrava DMS, to the Desk Sign.
Check-in
Through Robin’s QR code or mobile app. Badge, RFID, and NFC check-in are not supported through Robin today.
Data shared between platforms
Desk, reservation status and time, and the reservation holder’s name. DMS stores no sensitive data and removes booking data after a reservation ends.
Requirements
Robin with desks modeled and Desk Check-Ins enabled, a Robin Account ID and API token, Desk Sign with an Embrava subscription and DMS account, USB-C or PoE power, and Wi-Fi or wired network with outbound ports 443 and 8883. Full steps in the Robin integration guide.

Common questions.

Yes. Robin integrates with Embrava Desk Sign, and the integration is live. We built it and we maintain it.
Yes. Existing Robin customers generate a Robin API token, connect it in Embrava DMS, and map signs to their existing Robin desks. Nothing changes in Robin beyond enabling desk check-ins, if you want them.
Embrava Desk Sign. It shows real-time desk status and the reservation holder’s name, driven by Robin desk reservations.

The customer or reseller deploys it with our Robin integration guide: create a token in Robin, then configure and map devices in Embrava DMS. We support the device and DMS side; Robin supports the Robin platform and booking setup.
Yes. An Embrava subscription is required in addition to the Desk Sign hardware. Robin doesn’t control Embrava device or subscription pricing.
